Marketing Your Hilton Head Rental Property

Realty Management Advisors understands that vacancies can make or break a rental property. We advertise vacancies using a number of different tried-and-true methods to ensure that your rental property in Hilton Head has little to no downtime.

Online marketing has become an important part of any business, and this is no different for a property management business. This is why RMA posts vacancies on our website, on popular local listings and social media accounts to provide your property with the widest audience possible.

RMA uses its strong network as just one method for filling vacancies. We have a waitlist of potential tenants that are looking for rentals. We contact these candidates immediately upon notification of an upcoming vacancy and begin the interview process.

Efficient Tenant Screening Process

Tenant screening is an essential part of the rental process. RMA assesses the potential risks associated with renting their property to a particular tenant. By conducting a thorough tenant screening, we can evaluate the applicant’s creditworthiness, rental history, employment status, and criminal record. This information enables us to make an informed decision on whether the applicant is likely to be a reliable tenant who will pay their rent on time, maintain the property, and follow the rules and regulations. When performing tenant verification, there is a vast amount of information that RMA compiles to place the best tenant possible.

Our goal is to protect the property owner’s investment by identifying tenants who are more likely to cause damage to the property or engage in illegal activities. By screening potential tenants, we reduce the risk of having to deal with costly evictions, property damage, or legal issues.

Tenant screening is crucial in ensuring a safe living environment for all tenants. A comprehensive screening process can identify individuals with a history of criminal activity, substance abuse, or other problematic behaviors that could jeopardize the safety and well-being of other tenants.

Hilton Head Property Lease Administration

Upon approval of the applicant, a lease is executed and the first month’s rent and security deposit are collected prior to occupancy. Rent is deposited into a Rent Escrow account from which the management fee, other expenses (such as maintenance), and the Owner’s proceeds are paid.

How are security deposits handled?

Security deposits are held in a separate escrow account in compliance with South Carolina law. Property management services aim to make the process of owning and managing a property easier for property owners by taking care of the day-to-day tasks involved in managing a rental property.

Keys and HOA Rules & Regulations

How does the tenant receive their keys, garage door opener, etc.?

Keys, garage door openers, and gate clickers are signed out to the new tenant, and the record is kept in the tenant’s file.

How are tenants informed of any HOA rules and regulations?

A copy of the Rules & Regulations of an applicable Homeowners Association is provided to the new tenant and a receipt signed by the new tenant is kept in the tenant’s file.

Finances and Disbursement of Funds

When will I receive the rental income?

Owners can expect to receive the rental proceeds by the fifteenth (15th) of each month, provided that the tenant pays on time or within the five-day grace period. If the tenant pays late, you will be notified, and you can anticipate receiving your proceeds within ten (10) days after we receive the payment. We highly recommend setting up automatic deposit to your bank account as it expedites the disbursement.

Do you maintain records of property income for personal and tax purposes?

A monthly activity report will be made available on our website’s “Owner Portal” and/or sent to the email address you provide. Additionally, on an annual basis, you will receive an IRS Form 1099 along with a financial report summarizing the entire year’s transactions.

Hilton Head Rental Property Inspections

Are property inspections conducted during and after a tenancy?

In order to keep your property in excellent condition for renting, a comprehensive inspection will be conducted when the Management Agreement is signed and whenever there is a change in tenancy. Additionally, periodic inspections will be carried out during the tenancy to ensure that tenants are complying with property rules and to identify any maintenance needs.

How frequently are inspections conducted?

While the property is vacant, inspections will be conducted every two weeks at a minimum. When the property is occupied, inspections will be conducted semi-annually, with the tenant present. These inspections are included in our service and do not incur any additional charges for you.

Property Maintenance and Repair

How are repairs handled?

We take great pride in upholding your property to the highest standards of rentability and safeguarding your investment. For any repairs or enhancements estimated to exceed $200, we ensure your approval prior to initiating the work, except in cases of emergencies. We highly recommend engaging an HVAC contractor for semi-annual maintenance of your systems, and if needed, we can provide you with a list of contractors who offer discounted rates to our clients.

How do I know that repair work will be done properly?

Rest assured, we collaborate exclusively with the most dependable and skilled subcontractors in our market, all of whom possess the necessary licenses and insurance. These contractors are the same ones we trust for our own homes and rental properties, ensuring the utmost quality and professionalism in their work.

Fire and Safety Inspection

In order to ensure the safety of your property, an annual inspection is required to verify the functionality of smoke detectors and fire extinguishers. This includes changing the batteries in smoke detectors and recharging fire extinguishers if needed. You have the option to conduct this inspection yourself or we can arrange for it to be done by a professional, with the cost deducted from your account.
